Who we are: 

We are the Copyright Music Organisation of Trinidad and Tobago (COTT).  We take data privacy very seriously; this policy aims to clarify how we handle your personal information. Our website can be found at: https://cott.org.tt  

 

Comments: 

When visitors leave comments on the website, we collect the information displayed in the comment form, including the visitor’s IP address and browser user agent string, to aid in spam detection. 

An anonymized string generated from your email address (also known as a hash) may be provided to the Gravatar service to determine if you are using it. The Gravatar service’s privacy policy can be found here: https://automattic.com/privacy/. Upon approval of your comment, your profile picture will be publicly visible in the context of your comment. 

 

Media 

When uploading images to the company website, it is crucial to ensure that any embedded location data (EXIF GPS) is removed to protect the privacy of individuals. Visitors to the website should not be able to access or extract sensitive location information from uploaded images. 

 

Cookies: 

When leaving a comment on our website, you have the option to save your name, email address, and website in cookies. This convenience feature eliminates the need to repeatedly enter your information when leaving future comments. These cookies have a lifespan of one (1) year. 

Upon visiting our login page, a transient cookie will be set to ascertain your browser’s compatibility with cookies. This cookie is devoid of any personal information and will be discarded upon the closure of your browser. 

During the login process, several cookies will be established to preserve your login credentials and preferred display settings. Login cookies have a lifespan of two days, while screen options cookies endure for a year. Selecting the “Remember Me” option extends your login persistence to two weeks. Conversely, logging out of your account will result in the removal of login cookies. 

Editing or publishing an article will generate an additional cookie in your browser. This cookie is devoid of personal data and merely signifies the post ID of the recently edited article. Its validity expires after one day. 

 

Embedded content from external websites: 

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. 

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. 

Who we share your data with: 

If you request a password reset, your IP address will be included in the reset email. 

 

How long we retain your data: 

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can view, edit, or delete their personal information at any time (except they cannot change their username). Website Administrators can also view and edit that information. 

 

What rights you have over your data: 

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. 

 

Where your data is sent: 

Visitor comments may be checked through an automated spam detection service.
